Nights Guest Service Agent

Role: Nights Guest Service Agent
Reporting to: Night Manager/Front Office Manager
Hotel: Indigo Hotel, Victory House, Assembly London

General Purpose

Night Guest Service Agent provides excellent customer service to guests and keeps the front desk and accounting operations running smoothly at night. They assist guests with their overnight requests and balance accounts leftover from the day shift. A night auditor handles late night check-ins, manages guest requests and accepts reservations.

• Greet guests upon arrival, check them in and provide them with any information they need to enjoy their stay
• Audit and balance reports from the day shifts
• Schedule guest wake-up calls and reservations for the following day
• Verify that all end of day work has been performed by other departments
• Respond to guest inquiries, concerns and complaints as needed
• Answer phones and place reservations
• Run end of day computer functions so they are complete by the end of the shift
• Prepare guest bills for next-day checkouts
• Balance cash drawers and record receipts
• Facilitate the deposit of guests’ valuables in hotel safe
• Conduct security and fire walk rounds during the night to ensure the safety and security of hotel guests
• Prints out and file registration cards for the next business day
• Take prepayment for any relevant next day arrivals (advance purchase)
• Tracks room revenues, occupancy percentages, and other front office statistics.
• Must have complete knowledge of emergency procedures

Role: Front Office Shift Leader
Reporting to: Front Office Manager
Hotel: Indigo Hotel, Victory House, Assembly London

General Purpose

As Front Office Reception Shift Leader, you will assist in management of daily Front Office operations and work with your team to ensure all customers and Guests receive first class customer service and enjoy a fantastic stay or experience at the hotel. A Front Office Shift Leader is responsible for managing the first impressions of our Guests and, therefore, must ensure the Front Office team have the highest standards.

• To supervise the professional greeting of guests and visitors, to the highest standards.
• Ensure that the Front Office Manager is kept fully aware of any relevant feedback from Guests and/or other departments
• To manage room reservations ensuring that the bookings team are processing all enquiries accurately.
• Maximise room occupancy and use up-selling techniques to promote hotel services and facilities
• Ensure Team Members have a current knowledge of all room categories, room rates, packages, promotions, local area and other general product knowledge necessary to perform their duties
• Support the recruitment, induction and training of guest service agents
• Appraisals and performance management of staff, including monthly meetings.
• Leading, monitoring, motivating and inspiring the team; providing guidance and support.
• Review of existing standards and procedures while implementing new best practices to ensure a seamless delivery of Front Office/Reception Services • On-going development of skills and knowledge for the FOH team.
• Produce, manage and operate the reception rota, checking future planned absences, planning cover and ensuring overtime is provided when necessary
• Manage the implementation for any change or upgrade in software systems • Supervise the co-ordination of VIP Functions and events.
• Review the uniform requirements and uniform standards of the team
